Job Description

MAIN PURPOSE AND SCOPE OF THE JOB

The main purpose and objectives of the role are to:

  • Be a key contact for our clients, ensuring the smooth running of their accounts
  • Provide front line customer services on behalf of our clients
  • Manage office administration


DUTIES AND KEY RESPONSIBILITIES

Key Contact for Clients

  • Manage and coordinate incoming client queries via service email or phone
  • File carrier claims and follow up for resolution
  • Order entry for any orders received by email or phone
  • Resolve errors for orders not sync’d automatically to our system, typically these arise when there is an issue with product set up
  • Ensure clients provide enough shipping details in advance to ensure their products can be booked in easily when received into the warehouse
  • Critical path management for onboarding new products / brands or clients
  • Ensure new products are set up on our system with all required details
  • Send copies of all client correspondence received to clients
  • Running / scheduling reports for clients, the majority of which can be set to run automatically
  • Liaison between client and warehouse operations
  • Proactively manage back orders with Clients


Front Line Customer Service

  • Respond to and resolve client customer enquiries
  • Run exception reports on carriers, proactively identifying shipments not delivered and seek to resolve
  • Raise exchange orders, replacement, collections etc.
  • Receive in returns and book into the warehouse management system


Office Administration

  • Open post daily and file / action
  • Maintain holiday and sickness planner
  • Ordering of packing materials and stationary
  • Diary management for Directors, coordinating meeting times
  • Deadline management for company filings
  • First line of contact for all incoming sales enquiries either received via online messenger, email or phone
  • Invoice filing, preferably inputting into Quickbooks our finance package.


GENERAL RESPONSIBILITIES

As a small business a flexible approach to work is needed. Where necessary and when spikes arise in volume, assistance in the warehouse may be required
